Donation Form Data

When you submit a donation via our donation page (https://padmasreewia.in/donate/), we collect two types of mandatory information:

  1. Identity and Tax Documentation Details:

    • Full legal name, valid email address, phone number, and mailing address for communication purposes
    • Permanent Account Number (PAN) / Goods and Services Tax Identification Number (GSTIN) required for official 80G tax exemption receipt generation under the Indian Income Tax Act 1961
  2. Offline Payment Verification Proof:

    • Uploaded screenshots of UPI advice, bank transfer advice, or any related payment receipt confirmation
    • UPI Reference ID / Transaction Reference Number / unique bank transfer identifier for reconciliation and audit purposes

Important Data Notice: We do not collect, process, or store any credit card numbers, debit card numbers, UPI PINs, net banking passwords, or any sensitive financial authentication credentials. All payments are initiated and completed directly by you via your own UPI app or internet banking portal. We only access the proof of payment you voluntarily upload for internal verification purposes.

General Visitor Data
  • Technical and usage analytics data including IP address, browser type, pages accessed, and visit duration collected automatically via server logs and basic analytics tools
  • Identity and contact information if you submit inquiries through our website contact form, email, or other direct communication channels
Newsletter Communications Data

If you choose to opt into our email communications, we collect your name and email address for sending periodic updates.

3. Purpose of Data Usage

We only process your personal data for legitimate, explicit, and legally compliant purposes:

  1. Donor Management and Payment Verification: To manually verify offline donations through uploaded UPI/bank advice screenshots and reference IDs, reconcile received funds, and issue official 80G tax exemption receipts for valid contributions
  2. Statutory Compliance: To fulfill mandatory recordkeeping, auditing, and reporting requirements as mandated by Indian tax laws and applicable government regulations
  3. Impact Communication: To deliver periodic, opted-in updates about our NGO activities, social impact reports, and community engagement initiatives to subscribed stakeholders
  4. Service Improvement: To analyze aggregated, anonymized technical data to improve our website functionality, accessibility, and overall user experience

We strictly do not sell, rent, or share your personal data with any external third parties for marketing, advertising, or profiling purposes.

4. 80G Tax Exemption Specific Terms

Padmasree WIA is registered as a charitable organization under Section 80G of the Indian Income Tax Act 1961. Donors who qualify under applicable Indian tax laws are eligible for 50% tax exemption on their eligible contributions under Section 80G.

To generate and issue valid, legally compliant official donation receipts for your income tax filing, you must provide accurate PAN information, current mailing address, and valid contact details. Official tax receipts are sent automatically to your registered email address upon successful donation verification. You may request a physical copy of the receipt by contacting the team at hello@padmasreewia.in.

5. Third-Party Data Sharing

We do not share your personal data or payment verification information with any third-party payment gateways or processors, since all donations are processed offline directly by you via your own banking channel or UPI application. Uploaded payment advice screenshots and reference identification numbers are accessed strictly by authorized Padmasree WIA finance and administrative staff for internal reconciliation, record maintenance, and annual audit purposes. We may disclose aggregated, anonymized donation data to government tax authorities only as strictly required by applicable Indian legislation.

6. Data Security Measures

We implement robust technical and organizational security practices to protect your personal data against unauthorized access, loss, or misuse:

  • All data transmitted on our website is encrypted through SSL (Secure Sockets Layer) encryption technology
  • Uploaded payment advice images containing sensitive financial reference data are stored in secure, access-restricted internal organizational drives with appropriate administrative controls
  • Personal donor information is accessible only to authorized staff for legitimate processing and verification purposes, and access is formally revoked for separated employees immediately
  • All payment verification images and related documentation are permanently deleted from our systems after 8 years, in alignment with statutory income tax record retention mandates

7. Data Retention Policy

We retain donor personal data and associated payment verification documentation for up to 8 years from the date of the transaction, as required under Indian income tax laws for legal record keeping, compliance audits, and statutory reporting. Non-donor contact and communication data is deleted upon your formal request, or 12 months after the date of last verified account activity or communication interaction.

8. Your Legal Rights

Under the Digital Personal Data Protection Act 2023 (DPDP Act), Information Technology Act 2000, and other applicable Indian data privacy regulations, you hold the following rights regarding your personal data:

  • Right to access, review, and receive a copy of your personal data held with us
  • Right to request correction, updating, or amendment of inaccurate or incomplete data
  • Right to request deletion of non-essential personal data not required for statutory recordkeeping
  • Right to withdraw your consent for receiving marketing or promotional communications at any time
  • Right to lodge a formal grievance with our designated organizational Grievance Officer regarding any data processing concerns
